HOW DO I BOOK?
Send us a message through our contact form with your preferred event date, time, location, and the number of guests. We will then let you know whether we have availability, if we do then we will send you a booking form which you will have to fill out with details regarding your event. Once we have received it back, we will then go ahead and send you the invoice, once the deposit has been received your date will be secured.
WHY DO I HAVE TO PAY A DEPOSIT?
Your booking deposit is to secure your date and event items you wish to hire. This comes off the total amount due.
HOW FAR IN ADVANCE SHOULD I BOOK?
We typically require a minimum of two weeks’ notice for bookings. However, please contact us if you have less than two weeks to plan your event and we will check our availability.
HOW LONG CAN I HIRE the equipment?
Your time slot in a public space is 6 hours. If you would like to increase or decrease that then this must be arranged with us in advance (Extra charges may apply). If you are hiring us for a private location then the time slot can be increased depending on our availability (extra charges may also apply). But it is best to contact us to discuss.
HOW MANY GUESTS CAN I INVITE?
The maximum amount of people that we are able to set up for is 30 (outdoors, due to current covid guidelines, indoors is 6)
where can i have my event?
Private venues/function spaces, back gardens, living rooms, balconies, rooftops, hotels, sporting grounds and Air b&b's make great locations. Unsure if your chosen location has enough space? Fill out our contact form and we'll be in touch with you shortly.
DO YOU ALSO CATER FOOD/DRINK?
To give you maximum flexibility with the type of food you serve at your event, we do not cater any food or drink, though we can recommend suitable catering companies if you are a little bit stuck.
WHAT HAPPENS IF IT RAINS ON THE DAY OF MY EVENT?
We have a couple of options; we have our very own transparent bubble tent in the event of rain (this is suitable for a party of 8). If your event includes a larger amount of guests we can reschedule at no additional cost (subject to availability). It is strongly advised to check weather forecasts in advance and to have a backup plan/location in mind! If you have already booked and later discover it is going to rain, we will always try to accommodate last-minute location changes (e.g. to a sheltered area/indoor location). Unfortunately, the weather is out of our control and we are in rainy England, so we cannot refund bookings on the basis of bad weather.
WHAT HAPPENS IF I AM RUNNING LATE?
Please let us know as soon as you know if you are delayed. As we may have other events scheduled that day. Please also note that your picnic time starts from the agreed time slot whether you are late or not. Please note that we also have the right to pack up the picnic without any refund if you are more than 30 minutes late.
WHAT SHOULD I DO WHEN THE TIME IS UP?
We will return at the arranged time to pack up. Until then you are responsible for the items. If you would like to leave earlier than the agreed time, please contact us directly via the phone.
Can I HIRE YOUR EQUIPMENT INDIVIDUALLY?
Yes - depending on availability, if there is a specific item you wish to hire (e.g. a peacock chair, movie projector or a stand-alone balloon garland) please contact us for details.
where are you and how far do you travel?
We are based just outside of Bury St Edmunds, Suffolk. We travel across the UK, please see our pricing page for details or alternatively drop us an email for a quote.
What about covid-19?
If we can’t go ahead with your event because of sudden government restriction changes then we can reschedule your event for another available date of your choice (subject to availability) or if you would prefer a refund, we will be happy to issue it. We have strict cleaning procedures in place to help keep our equipment sanitised before and after each event. This is to ensure it is safe and germ-free. Any items that are washable are washed at 60 degrees i.e. sheets, duvet covers, pillows and cushion covers. We ensure these items are not reused straight away. Gatherings Luxury Events team carry antibacterial gel and use this before entering your home or venue, they also have face masks.
